This notice covers personal information we handle through this website and the enquiries that reach us from it. It does not cover information we handle for a client under a contract - in that work we normally act as a processor on the client’s instructions, and the client’s own privacy notice applies.
We have not appointed a statutory Data Protection Officer, as we are not required to. Data protection questions go to info@bremesgraf.com.
What we collect
What you send us. Through the enquiry form: your name, email address, telephone number, company or organisation, the request type you select and the message you write. If you email or telephone us instead, we hold whatever you choose to give us.
What the server records. Our hosting provider keeps standard web server logs. These normally record the IP address the request came from, the date and time, the page requested and the browser identification your device sends.
This website has no account registration, no shop, no payment function and no newsletter sign-up. We do not ask for, and have no use for, special category data - health, biometric, political, religious or similar information. Please do not include any in an enquiry.

Who sees it
Your enquiry is emailed to our team. It is not stored on the website, with one exception: if our email system is unavailable at the moment you send it, the enquiry is held on the website instead of being lost, and sent on as soon as email is working again. A held enquiry can be read only by a site administrator, is never shown publicly, and is deleted once it has been dealt with. You are told on screen when this has happened.
Beyond our own staff we share personal information only with:
- the providers that host this website and deliver our email, who act on our instructions
- our professional advisers, where they need it to advise us
- a public authority, court or regulator, where the law requires or permits it
We do not sell personal information, we do not share it for advertising, and we do not use it to build profiles.
Sending information outside the UK
Bremesgraf has an office in Amman, Jordan, and enquiries about work in that region may be handled by colleagues there. Jordan is not a country the UK government has decided offers an adequate level of data protection. Where personal information reaches our Jordan office, or a supplier outside the UK, the transfer is made under the Information Commissioner’s International Data Transfer Agreement, or the UK Addendum to the European Commission’s standard contractual clauses, together with an assessment of the risks of the transfer. You can ask us for a copy of the safeguards we rely on.
If you are outside the UK
This website can be reached from anywhere and we welcome enquiries from any country. Bremesgraf is a UK company, this website and our email are operated from the UK, and UK data protection law is the law that governs how we handle your information - wherever you happen to be when you send it to us.
The law of the country you are in may give you rights beyond the ones set out above. Tell us what you would like us to do and we will meet it wherever the law requires us to, and wherever we reasonably can even where it does not.
How long we keep it
- An enquiry that leads nowhere: deleted within 24 months of the last contact about it.
- An enquiry that leads to a quotation or an order: kept for the life of that relationship and then for 6 years from the end of the financial year it ended in, which is the period our tax and accounting obligations require.
- Server logs: kept by our hosting provider for a short period, normally no more than 12 months, and then overwritten.
- An enquiry held on the website after an email failure: deleted automatically 30 days after it reaches us by email. One that has still not reached us is kept until it has, because deleting it would destroy the only copy of your enquiry.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete information we no longer have a good reason to keep
- ask us to restrict how we use it while a question about it is resolved
- object to our using it, including any use we base on our legitimate interests, and to direct marketing at any time and without giving a reason
- ask us to transfer it to you or to another provider, where that right applies
We answer within one month. There is no charge unless a request is manifestly unfounded or excessive. To exercise any of these rights, write to info@bremesgraf.com or to the Birmingham address above. We may ask you to confirm who you are before we act.
We do not make decisions about you by automated means alone, and we do not carry out profiling.
Keeping it safe
This site is served over an encrypted connection. Enquiries are held in our email system rather than in the website, so a compromise of the website does not expose them. Access is limited to the people who need it. No system is perfectly secure, and we will tell you and the Information Commissioner about a breach where the law requires it.
Cookies
This site sets no advertising, analytics or tracking cookies. A consent banner lets you accept or refuse anything beyond the strictly necessary and lets you change your mind later. The cookie policy gives the detail.
Complaints
If you are unhappy with how we have handled your personal information, please tell us first so we can put it right. Changes to this notice
We update this notice when the way we handle personal information changes. The date at the top shows when it was last changed.
